📅 1–2 Weeks Before the Wedding

  • ✅ Confirm final timeline with couple and vendors
  • ✅ Review all contracts and point-of-contact details
  • ✅ Confirm delivery/setup times with all vendors
  • ✅ Final venue walkthrough if needed
  • ✅ Collect copies of floor plans, seating charts, and final headcounts
  • ✅ Confirm bridal party lineup for ceremony
  • ✅ Create or finalize a master timeline and distribute it

📦 Day Before (or Rehearsal Day)

  • ✅ Lead or attend the rehearsal and confirm processional/recessional order
  • ✅ Pick up any last-minute items (signs, favors, programs)
  • ✅ Organize décor items for setup (drop-off boxes labeled by area)
  • ✅ Confirm weather and backup plans
  • ✅ Set up coordinator’s emergency kit (scissors, pins, sewing kit, meds, tape, etc.)
  • ✅ Confirm arrival times with couple and wedding party

🌞 Wedding Morning

  • ✅ Check in with bride/groom(s) and ensure they’re on schedule
  • ✅ Ensure hair/makeup team arrives on time
  • ✅ Drop off or oversee breakfast/lunch delivery for wedding party
  • ✅ Deliver personal flowers (bouquets, boutonnieres, corsages)
  • ✅ Confirm ceremony and reception sites are being set up
  • ✅ Set up welcome signs, programs, place cards, guest book, favors, etc.
  • ✅ Check rentals: chairs, linens, chargers, etc.

💒 Pre-Ceremony (1–2 Hours Before)

  • ✅ Final sweep of ceremony space
  • ✅ Coordinate with photographer/videographer on first look/timeline
  • ✅ Pin boutonnieres and hand out bouquets
  • ✅ Cue DJ/musicians for ceremony start time
  • ✅ Line up bridal party for processional
  • ✅ Cue ceremony start

🎉 Post-Ceremony

  • ✅ Direct guests to cocktail hour
  • ✅ Assist with family/bridal photos
  • ✅ Gather any ceremony décor that’s moving to reception
  • ✅ Touch base with catering team for timeline updates
  • ✅ Ensure reception space is guest-ready
  • ✅ Light candles, adjust lighting, and final table touches

🍽️ Reception

  • ✅ Cue grand entrance
  • ✅ Cue speeches, dances, and toasts according to timeline
  • ✅ Communicate with vendors (DJ, caterer, photographer) throughout
  • ✅ Check in with couple and keep them hydrated and fed
  • ✅ Coordinate dinner service or buffet flow
  • ✅ Handle any unexpected issues or changes

🍰 Evening / End of Event

  • ✅ Cue cake cutting and special events (bouquet toss, last dance, etc.)
  • ✅ Remind couple of last call and closing time
  • ✅ Distribute final payments/tips to vendors (if applicable)
  • ✅ Help pack up décor, gifts, leftover food, personal items
  • ✅ Ensure all rentals are accounted for and placed for pickup
  • ✅ Collect any lost & found items and secure valuables

After the Wedding (Optional Add-on)
